The SUBTOTAL function in Excel is a better alternative to functions like SUM, AVERAGE, and MIN, which can return incorrect results when working with filtered data, hidden formulas, or hidden rows. Unlike SUM, which ignores filters, SUBTOTAL dynamically adjusts to display only visible data. It offers 11 built-in functions, with additional options (101-111) that account for hidden rows. When working with tables, Excel’s Total Row feature automatically uses SUBTOTAL for accurate calculations. SUBTOTAL also has a feature under the data ribbon, in outline, which enables automatic grouping of data, making it easy to generate subtotals and grand totals without duplication errors. Additionally, the AGGREGATE function extends SUBTOTAL’s capabilities, offering 19 functions and the ability to ignore errors, hidden rows, or other specific conditions.
